This is a remote position.

Job Overview
The Administrative Scheduler will manage and input staff schedules into our CRM software, ensuring that all employee and participant records are accurate and up to date. This role involves communicating with participants about their care needs, handling various administrative tasks, and supporting daily operations. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks effectively while providing excellent communication and customer service.

Job Description:
  • Staff Scheduling: Accurately input and manage employee schedules in the CRM software to ensure optimal coverage for participant care.
  • Records Management: Maintain and update employee and participant records in both the CRM software and OneDrive, ensuring all information is current and precise.
  • Communication: Liaise with participants regarding their care needs, schedule changes, and other administrative inquiries, ensuring clear and effective communication.
  • Administrative Support: Assist with various administrative tasks, including document preparation, data entry, and reporting as needed.
  • Data Accuracy: Ensure the accuracy of all data entered into the CRM and OneDrive systems to maintain seamless operations and reliable records.
  • Collaboration: Work closely with the management team, employees, and participants to facilitate smooth communication and coordination of schedules and care requirements.


Requirements
  • Experience: Minimum of 2 years of relevant experience.
  • CRM Software Proficiency: Skilled in accurate data entry and management of staff schedules and records within CRM Shiftcare, ensuring data is up-to-date and accessible
  • Microsoft OneDrive Skills: Proficient in organizing, sharing, and managing files on OneDrive to enable smooth collaboration and easy access to information.Communication Skills: Strong written and verbal communication abilities, with a focus on professional, empathetic interactions with participants. A customer-service-oriented approach to responding to queries is essential.
  • Administrative Skills: Detail-oriented with strong time management, problem-solving, and multitasking abilities. Skilled at prioritizing tasks and effectively handling ad-hoc administrative duties.
  • Technical Proficiency: Competent with general IT tasks, including troubleshooting CRM and OneDrive issues, and proficient in Microsoft Office Suite. Adaptable to new tools and technologies.
  • Confidentiality and Compliance: Knowledgeable about maintaining the confidentiality and security of sensitive data, adhering to best practices and compliance standards, particularly related to NDIS or similar frameworks.
