Job Summary
We are seeking a Contracts and Budgets Coordinator to provide essential support for our Contracts and Budgets team. This is an ideal opportunity for a highly organized, detail-oriented professional to begin in an administrative support capacity and gradually grow into a Contracts and Budgets Associate.
 
This role’s primary focus is on administrative tasks, tracking documentation, and supporting timelines within the study startup process. Over time, this position offers the potential to engage more deeply in contract and budget negotiation.
 
This position can be based in any IMA office location or be a remote work-from-home role, anywhere in the US. This position is not considering candidates from New York City, Chicago, California, Colorado, or Washington states currently. The salary range for this position is $40,000- $50,000 annually depending on experience.
 
Key Responsibilities 
  • Documentation Management: Organize and maintain study startup and contract documentation in internal systems, ensuring accuracy and accessibility for team review.
  • Tracking & Reporting: Monitor and update project timelines and milestones for the Contracts and Budgets team, ensuring adherence to key performance indicators. Generate regular reports on task progress and escalate potential delays as needed.
  • Administrative Support for Contracts & Budgets: Assist with initial drafting, reviewing, and filing of basic contract and budget documents under guidance, preparing materials for more senior review.
  • Cross-Functional Communication: Serve as a key contact to facilitate information flow between internal teams and external partners, keeping all parties informed of deadlines, document needs, and updates to study startup processes.
  • Confidentiality & Compliance: Ensure secure handling of all documents related to contracts, budgets, and regulatory processes, in line with company confidentiality standards and regulatory requirements.
  • Professional Growth Opportunity: With experience, expand into supporting contract and budget negotiations, learning the essentials of drafting, reviewing, and adjusting financial agreements.
Education & Experience
  • Qualifications: Associate or Bachelor’s degree preferred, or equivalent experience in a similar role.
  • Skills: Familiarity with contract administration or budget processes, and a basic understanding of regulatory/IRB guidelines is a plus.
