Overall purpose and responsibilities of the role:

The Administration Manager will efficiently manage patient scheduling and provide comprehensive administrative support to ensure seamless coordination between patients and psychologists. Key responsibilities include scheduling and rescheduling appointments, managing patient and psychologist communications, maintaining accurate records, conducting follow-up calls, resolving scheduling conflicts, managing the scheduling database, generating reports, and improving administrative processes.

Duties & Responsibilities:

  • Appointment Scheduling: Coordinate and schedule appointments between patients and psychologists based on availability, ensuring that all slots are efficiently utilized.
  • Rescheduling & Cancellations: Manage appointment rescheduling and cancellations, ensuring that both patients and psychologists are promptly informed.
  • Patient Communication: Serve as the primary point of contact for patients regarding appointment-related inquiries, confirmations, and reminders.
  • Doctor Communication: Monitor referrals, and report distribution.
  • Psychologist Coordination: Work closely with psychologists to manage their calendars, ensuring that their availability is up-to-date, and all appointments are properly scheduled.
  • Administrative Support: Maintain accurate records of all scheduled appointments in the system and assist with any administrative tasks related to patient scheduling.
  • Follow-up Calls: Conduct follow-up calls or send reminders to patients to confirm appointments and address any scheduling conflicts.
  • Conflict Resolution: Address any scheduling issues or conflicts and resolve them in a timely and professional manner.
  • Database Management: Keep the scheduling system/database updated, ensuring accuracy and efficiency in booking appointments. Improve and enhance admin processes
  • Reporting: Provide regular updates and reports on appointment statistics, cancellations, and rescheduling trends.
  • Management & Training – the ability to train & co-ordinate others –– to guide others as to the referral process (Doctors, private or government organisations), and the ability to train others regarding administration services and processes, to either current or prospective staff members.
  • Clinical assessments: generate links for assessments, questionnaires and forms using different platforms

Requirements

Skills & Qualifications:

  • Proven couple of years of experience in an administrative role, and at least 2 years preferably in a healthcare setting.
  • Strong organizational skills with the ability to manage multiple schedules and appointments simultaneously.
  • Excellent communication skills (both verbal and written), with a customer-service-oriented approach.
  • Attention to detail and ability to follow through with tasks independently. Managing patient registration details with accuracy.
  • Ability to work in a fast-paced environment and handle last-minute changes or cancellations.
  • Problem-solving skills with a proactive approach to managing scheduling conflicts.
  • High level of professionalism and discretion in dealing with sensitive patient information.
  • Experience working in a mental health or medical office setting is advantageous.
  • Familiarity with HIPAA regulations and ensuring patient confidentiality is preferred but not required.
  • Basic knowledge of mental health services and the role of psychologists.
