Job description

About the Role

We are seeking an Executive Assistant to play a pivotal role that enhances the operational efficiency of the CEO and Director of the Philippines, allowing for better prioritization and focus on strategic initiatives. You will support data-driven decision-making ensuring that the CEO and Director have the necessary insights to steer the company toward growth and success.

 

Key Responsibilities

  • Quickly adapt to new information and continuously learn in a fast-paced environment, demonstrating a strong commitment to the role and a passion for supporting the CEO and Director of the Philippines.
  • Recognize the value of the CEO and Director’s time, ensuring they have the capacity to focus on high-level strategy and vision while you efficiently manage their administrative and operational responsibilities.
  • Become a trusted extension of the CEO and Director over time, able to anticipate their needs, identify potential blind spots, and proactively manage critical details. 
  • Build trust quickly through effective communication and relationship management, ensuring the CEO and Director can rely on you for support and insights that facilitate their success.
  • Demonstrate a proactive approach to managing responsibilities, offering insights that contribute to the overall efficiency and effectiveness of the CEO and Director’s operations.

 

Ideally, you have the following qualifications…

Experience & Software

  • Proven experience in executive-level administrative support, including managing calendars, scheduling meetings, and handling travel arrangements.
  • Proficiency in handling email management systems and maintaining organized communication flow.
  • Expertise in document management and maintaining confidential information with discretion.
  • Strong experience in data gathering, analysis, and presenting findings in clear, actionable reports.
  • Proficiency in using reporting tools and software (e.g., Excel, Google Sheets, or BI tools) to create detailed financial, operational, and performance reports. Ability to compile, interpret, and present data-driven insights for senior executives to make strategic decisions. 
  • Experience in coordinating and managing multiple projects, tracking deadlines, and ensuring timely completion.
  • Ability to conduct thorough market research, competitor analysis, and trend evaluations to support decision-making.
  • Skilled in summarizing and presenting complex information in a concise and meaningful way for executive review.
  • Strong written and verbal communication skills, capable of serving as a liaison between the CEO/Director and internal/external stakeholders.
  • Experience in filtering and prioritizing communication to ensure streamlined operations.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and collaboration tools like Zoom and Slack.
  • Familiarity with CRM systems, email marketing platforms, and reporting software is a plus.
