Working/Functional Title

Pre & Post-Award Research Administrator

Position Summary

The College of Social Science is seeking a Research Administrator to support the research enterprise and provide pre-award and post-award grant administration services to researchers in the College.

Grants/Research Pre-Award Services

Serves as a member of the College’s Office of Research and Strategic Initiatives providing pre-award research administration support; provides pre-award grant assistance to academic units, centers and institutes within the College of Social Science including project review; budget development; submits research proposals in KR Research Administration system. Conducts reviews of applications for compliance with regulations; coordinates the implementation and provision of research compliance process components including conflict of interest reporting; assists PIs and unit administrators in ensuring compliance with research guidelines and requirements of regulatory agencies; identifies problems and/or inconsistencies and recommends corrective actions to project personnel as appropriate. Coordinates communication with PIs, co-Investigators, other units in the College and University, and OSP to ensure appropriate approvals and a timely submission process. Provides other supportive processes and communications with involved regulatory and administrative departments/units. Coordinates with other institutions on subaward/subrecipient setup for a timely proposal submission process. Coordinates sub-recipient communication. Pursues continuous education to stay current on research administration policies and procedures for MSU as well as external funding agencies.

Post-Award Administration Services

Provides post-award administration, monitoring, and financial management of complex projects in accordance with applicable federal, state, local, and university policies, procedures, and regulations. Provides support with post-award administration of grants, contracts, clinical trials and PI initiated clinical research and trials. Guides investigators by reviewing the award budget status; assists with the preparation of interim and final financial and technical reports. Examines project financials and budgets for accuracy and reports discrepancies to immediate supervisor and investigator. Processes project account closeout activities; helps develop final report documentation, assists with analysis of project logistics as required, and notifies immediate supervisor and investigator of concerns. Tracks progress of invoices, payments and subcontract and sponsor communication.

Research Compliance and Training

Reviews research compliance process components, including budget review and justification, feasibility, research billing process, conflict of interest reporting, program evaluation and monthly and annual reporting processes; assists with the development of a variety of reports, documents and correspondence for regulatory agencies, participating research sites and for internal purposes to assist in the ongoing monitoring and evaluation of the research program’s progress; assists with inspecting ongoing and closed study files, project source documents, and project data for verification of consistency, accuracy, and compliance with various research regulations. Helps Office of Research leadership in the training of researchers, faculty and administrators on grant submissions, research and paperwork.

Provide Training to Entry-Level PIs

Provides training to entry-level PIs on grant submissions, University and sponsor regulations, research processes and paperwork.

Budget Development, Contract Execution and Account Setup

Assist PIs and units in the development of grant proposal budgets and justification; reviews award budget status and revises budgets as appropriate; coordinates contract execution and account setup; works with unit fiscal officers for a smooth transition to post-award.

This position directly reports to the College of Social Science Senior Associate Dean for Research and Strategic Initiatives and the Associate Director of Research Administration.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business Administration, Accounting, Finance, or related field; one to three years of related and progressively more responsible or expansive work experience in office procedures and research administration, or in performing responsibilities related to the operational activities of the College of Social Science Office of the Associate Dean for Research; experience with word processing, database, spreadsheet, presentation software, web page software; or an equivalent combination of education and experience.

Desired Qualifications

Bachelor’s degree in business administration, accounting, finance, or a related field; three to five years of research administration experience in an academic department or university setting; three to five years’ experience in financial or accounting practices; demonstrated leadership competencies, strong critical thinking, financial and analytical skills; excellent verbal and written communication and interpersonal skills; knowledge of Michigan State University’s business policies and procedures; experience with Michigan State University’s Enterprise Business Systems; experience working on college and/or university budgets; certified in Michigan State University’s Essentials of Research Administration; strengths should include a dynamic yet collaborative approach and excellent problem-solving, oral/written communication, and organizational skills; ability to work independently
