Job Summary:

Recruitment Administrator will support the Recruitment Supervisor in all administrative aspects of high-volume recruitment and onboarding needs for GCO shipboard employment through the entire cycle - from sourcing the most suitable talent, through candidate screening and hiring, to processing through due diligence and onboarding all new hires and rehires - ensuring each holds all relevant valid documentation to join a vessel. S/he will liaise with our hiring partners and potential hires through various avenues of online platforms, ATS, social media and mailbox/es to keep all informed of progress or delays. Represent GCO as the agent and efficiently liaise with applicants to ensure queries are presented and responses are received in a timely manner to assist new hires through the due diligence and onboarding processes.

Essential Functions:

  • Assist Recruitment Supervisor with candidate administration to successfully meet the changing demands of the organization:
    • Ensure data is processed in a timely and accurate manner.
    • Maintain accurate correspondence, file notes, interview, and selection documentation throughout all recruitment processes, storing all data in line with Carnival’s data protection regulations.
  • Be responsible for setting up and scheduling online interview/s for applicant with applicable Recruiter or Subject Matter Expert (SME).
  • Perform prompt appraisal of due diligence reviews and employment verifications (including telephone calls to external businesses to validate references. Execute accurate and timely inspection of onboarding documentation.
  • Act as hiring partner for direct hires through all stages of employment, due diligence reviews and onboarding process:
    • Communicate effectively to answer specific questions in relation to employment background checks, medicals, visas, and travel documentation preparation.
  • Weekly administrative correlation of candidate and manning partner communication that maintains accurate system for transparency in approved candidate volume
    • Verifying hired applicant documents in due diligence and
    • Issuing accurate onboarding paperwork to candidates in a timely manner and ensuring associated processes are completed to a high standard


Creation of shipboard team member records in applicable HR system (i.e. CPS). Delivery of C1/D visa letters to all new hire (and returning crew) and upload of necessary documentation details in CPS. Administer various Reference letters (Verification of Employment) for current and former Team Members. Filing, updating, and archiving any new hire/rehire cancellations in CPS and Recruitment ATS.

  • Manage communication within online platforms, ATS, social media and mailbox/es to effectively answer various inquiries received from current Team Members, potential hires, shipboard and shoreside Management. Utilize library of templates and coordinate creation of new templates with GCO HR Management. Be the liaison in expanding the existing library of templates.
  • Facilitate Shipboard Interview Setup through Embarkation & Debarkation: For those routed through shipboard process, arrange table/cage tests with shipboard casino management.
    • Organize logistics of getting invited applicants through Terminal, onboard ship, interviewed as efficiently as possible and safely debarked.
    • Present results to Shoreside Manager for decision.
    • Be responsible for contacting applicant and setting up online interview/s.
  • Perform filing and archiving duties within online platforms, ATS, social media and mailbox/es, as needed. Responsible for orderly filing of all current recruitment information in Company provided Cloud account.
  • Continual improvement to:
    • Engage in education of processes, applications and technology used in day-to-day operations.
    • Increase knowledge of casino industry and associated roles on the gaming floor (Shipboard and Land Based).
    • Stay abreast of digital technology, platforms and social media that is appealing to GCO’s target audience
  • Relationship support to:
    • Liaise with and assist Manning Partners in an exemplary manner.
    • Provide high quality service to GCO candidates.
    • Maintain effective and positive working relationships with HR team members.


Qualifications

  • 1-2 years of HR administrative/data entry experience required, recruiting experience preferred. Previous gaming experience in a live casino and/or shipboard experience considered a plus, but not essential.
  • Proficient in Microsoft Excel, Word, and Outlook.


Knowledge, Skills And Abilities

  • Knowledge of travel or travel related industry, visa requirements, and good knowledge of world geography and time zones.
  • Excellent verbal and written communication skills with a professional, positive, and personable approach.
  • Solid computer skills, including proficiency in Word, Excel, and Outlook.
  • Strong attention to detail, with a high degree of accuracy in product work.
  • Possess the ability to learn quickly, adapt to change and work in a fast-paced, team-oriented environment.
  • Solid organization skills with the ability to maintain updated new hire records.
