This is a remote position.

Key Responsibilities:

Travel Arrangements:
  • Coordinate flights, hotels, and rental cars.
  • Ensure smooth travel logistics with updated itineraries.
Client Communications:
  • Handle 90% of client interactions via email.
  • Respond promptly and professionally to inquiries.
Calendar Management & Scheduling:
  • Manage calendars for efficient scheduling.
  • Book meetings and appointments as needed.
Inbox & Email Management:
  • Organize and categorize incoming emails for responses.
  • Draft, respond to, and manage correspondence.
Expense and Bookkeeping Management:
  • Record and categorize expenses using Wave Accounting.
  • Maintain accurate financial records and documentation.
Meeting Room & Event Coordination:
  • Book meeting rooms and assist with event scheduling.
Inventory, Supplies & Client Gifts:
  • Manage inventory and supplies for business needs.
  • Handle ordering and delivery of client gifts.
Occasional Personal and Family Support:
  • Coordinate gifting, family-related bookings, and contractor arrangements.
Qualifications:
  • 3+ years of experience as an Executive Assistant or similar role
  • Proficiency with Wave Accounting or similar platforms.
  • Strong organizational and multitasking skills.
  • Excellent written communication, particularly for email correspondence.
  • Ability to manage tasks independently and efficiently.
  • Flexibility to work staggered shifts or align with North American hours.
Scope:
  • 20 hours per week
  • Monday to Friday, 9AM to 1PM Pacific Time (Kelowna, BC, Canada)
