Your opportunity  

Dillon’s Planning & Design technical group is looking for a Project Coordinator to join our multidisciplinary team of professionals. You will have the opportunity to work on new and exciting projects, specifically large scale linear infrastructure projects. Dillon is looking for someone that has strong organizational skills for themselves and their team; someone who is not afraid to delegate work and communicates efficiently and effectively to ensure project success. 

 

At Dillon, we operate as one team. The successful candidate can be based at any one of our offices in the Greater Toronto/Hamilton Area: Toronto, North York, Oakville, Kitchener or Hamilton.

 

We offer flexible work hours and hybrid work arrangement options to help balance the competing demands of work and personal life. Specific project requirements may require two to three days of the week in the Client/Project Office in/around Toronto. 

Responsibilities:

What your day will look like

Project Coordination & Planning

  • Provide coordination support to Project Managers for the overall life cycle of projects, including but not limited to: the preparation, monitoring and execution of project plans, reports, proposals and contracts, electronic project set-up and maintenance, client invoice review and tracking, internal communication and task delegation, client meetings and interactions, and budget analysis using Dillon’s financial management system
  • Assist with public and agency consultation programs 
  • Provide assistance with general accounting needs (invoices, accounts payable, expense claims, database management, project closure, etc.)
  • Support project managers with document control programs between clients, consultants and contractors. Tracking Requests for Information (RFI’s), setting up project team meetings, recording minutes and distribution, facilitating responses to information from the technical teams, and ensuring project deliverable completion within the project schedule 
  • Business travel to other Dillon offices or Client offices upon request

Qualifications:

What you will need to succeed

  • 2-5 years project coordination related experience
  • Post-secondary education in project management, construction management and/or environmental management would be an asset
Experience:
  • Experience with coordinating multi-disciplinary infrastructure projects
  • Familiarity with environmental assessment requirements and legislation is an asset
  • Proficient in the use of Microsoft Office, specifically Word, Excel. and PowerPoint
  • Professional verbal and written communication skills
  • Time management skills and the ability to prioritize work effectively to meet tight deadlines and adapt to changing workload demands
  • Strong interpersonal skills and a positive “can do” attitude
  • Ability to develop innovative solutions when experiencing unexpected challenges or roadblocks and communicate with team regarding potential setbacks or concerns 
  • Experience in a Professional Services consulting firm (engineering/environmental/planning) is considered an asset
  • Experience working with and around contractors is considered an asset
