Job Overview

Join our dynamic team as an Administrative Assistant - Operations in a fully remote capacity. This pivotal role will support our daily operations while contributing to our mission of advocating for civil rights and fostering mutual understanding. We are seeking a detail-oriented and proactive professional who thrives in a dynamic, fast-paced environment.

Key Responsibilities

  • Act as the primary point of contact for daily operational needs, managing phone calls, scheduling appointments, and welcoming guests.
  • Oversee essential administrative tasks, including electronic and physical filing, copying, typing, and scanning documents.
  • Maintain the office’s shared calendar and coordinate meetings, both in-person and virtual, using an online scheduling platform.
  • Provide assistance in data entry and the monthly processing of donations.
  • Facilitate the onboarding process for new hires, collaborating with Operations staff to fulfill IT requirements.
  • Offer basic IT support in conjunction with our contracted IT team.
  • Monitor visitor access and assist vendors with deliveries and services.
  • Prepare a variety of documents, including emails, letters, reports, and instructional materials, while ensuring accurate minute-taking for monthly meetings.
  • Manage incoming mail, oversee the postage account, and handle supply requests and inventory management.
  • Evaluate and update vendor relationships to better meet organizational needs.
  • Liaise with janitorial services and undertake other duties as assigned.

Required Skills

  • Proficiency in Microsoft Office with a preference for familiarity with Salsa Labs.
  • Basic understanding of computer maintenance and an eagerness to learn about server and networking skills.
  • Experience in IT troubleshooting and an aptitude for collaborative work with IT support.
  • Strong attention to detail paired with exceptional organizational abilities.
  • Outstanding oral and written communication skills, enabling professional interaction with staff, community leaders, volunteers, and donors.

Qualifications

  • High School Diploma or GED with a minimum of 2 years of experience in an administrative role.
  • Proven ability to meet deadlines and manage multiple responsibilities effectively.
  • Comfortable in a team-oriented, fast-paced environment with a proactive approach to tasks.
