Executive Assistant
(Chief Financial Officer)


Job location: Ontario (GTA preferred)
Division: Finance
Hours: 40 hours per week, Monday – Friday

Employment type: Full-time permanent employment in a remote work-setting

Commitments may extend beyond regular office hours and although this role generally does not require attendance at such events or significant overtime, there are times when it will be necessary to provide support in-person at our office locations, including Toronto, or beyond regular office hours across multiple time zones internationally.

Job summary

We’re searching for an ambitious professional to plant their roots with us as an Executive Assistant. In this role, you will support the Chief Financial Officer and their Finance VPs in the Canada market and collaborate with all levels of the organization to improve processes and help our team achieve global success. As an Executive Assistant, you will support...

Calendar and schedule management:

  • Manage the executive's calendar, schedule appointments, meetings, and travel arrangements efficiently
  • Coordinate and prioritize appointments and commitments, and resolve scheduling conflicts and prepare and distribute agendas and presentations as required
  • Attend meetings, record minutes, and follow up on action items to ensure timely completion for areas within compliance, quality control, and product development


Travel and logistics:

  • Arrange complex domestic and international travel itineraries and agendas, including flights, accommodations, ground transportation, and any specific requirements related to cannabis-related events or trade shows, and ensure expenses are submitted through Concur


Communication and correspondence:

  • Draft, proofread, and edit correspondence, reports, presentations, and other documents for the executive's review and approval, ensuring compliance with cannabis industry regulations and guidelines
  • Support executive communications by addressing incoming calls and emails, and prioritizing urgent matters while maintaining confidentiality on sensitive matters


Information management and documentation:

  • Manage and maintain confidential information, files, records, and databases, adhering to strict data security protocols
  • Organize and prioritize incoming documents, emails, and other information, ensuring the executive's attention is focused on critical matters
  • Develop and maintain an efficient filing system for easy retrieval of information



Relationship management:

  • Establish and maintain effective working relationships with internal and external stakeholders, including executives, senior leaders, regulatory authorities, suppliers, financial stakeholders & analysts, and partners within the cannabis industry
  • Act as a liaison between the executive and internal departments, coordinating information flow and ensuring timely responses, while ensuring adherence to compliance guidelines governing the manufacturing and distribution of cannabis products


Special Projects and initiatives:

  • Assist the executive in research, analysis, and preparation of special projects, reports, and presentations (including presentations to leadership team)
  • Support the executive in monitoring project progress, tracking milestones, and ensuring deliverables are met
  • Support Investor Relations logistics
  • Support finance team engagement initiatives
  • Ad hoc duties as required



You will be set up for success if you have...

  • A minimum of three years’ EA experience supporting Vice President or C-level executives (ideally in a public company environment)
  • Post-secondary education, such as a University Degree or College Diploma, in Business, Office Administration, or related field (we would also welcome an equivalent combination of education, training, and experience)
  • Strong technical skills, adept with Google Apps for Business, Google Office, MS Office, and familiarity with Mac OS is an asset
  • Experience supporting board meetings and committee activities, including preparing board materials
  • Previous experience supporting corporate communications, managing confidential information, and navigating in fast environments with minimal supervision
