Enrollment Program Assistant

We achieve our goals through a unique set of programs and initiatives fostering cultural exchange, eco-fair trade, volunteerism, personal development, and environmentalism. Greenheart encompasses three main branches: Greenheart Exchange, Greenheart Travel, and Greenheart Shop.

The Enrollment Department is responsible for approving and enrolling Greenheart Exchange U.S.-bound cultural exchange visitors on the J-1 Secondary School, Summer Work Travel, Teacher, Intern and Trainee programs.

Your job will be to review our participants’ program applications, following our guidelines and writing feedback for our partners and participants. You will learn about the J-1 Summer Work Travel, Secondary School, Teacher, Intern and Trainee programs, while honing your attention to detail. You will work individually but also as part of a fun-loving but serious-about-our-work team that is committed to Greenheart’s mission.

 

Some things you might do as Enrollment Assistant:

  1. Rigorously review program applications, carefully following the established guidelines for review and reporting, and working with an eye for problems and questions.
  2. Update participant information in Greenheart systems.
  3. Assist with day-to-day processing such as reviewing change queue items and sending communications to stakeholders.
  4. Respond to stakeholder messages with appropriate and correct information within established timelines.
  5. Conduct virtual eligibility and/or English language interviews with participants.
  6. Work on departmental and organizational projects as assigned.
  7. Answer telephones and respond to callers or hand off calls according to organizational guidelines.


 
Some qualifications you should have:

  • Bachelor’s degree or equivalent preferred but not required
  • Ability to work independently while keeping managers informed of progress and problems.
  • Exceptional English verbal and written communication skills
  • Excellent attention to detail
  • Excellent keyboarding skills
  • Skill in communicating across cultural and linguistic differences
  • Demonstrated success working in a fast-paced office environment
  • Excellent organizational skills and ability to manage multiple concurrent priorities
  • Experience working in a database or with applications a plus
  • Experience in cultural exchange, especially J-1 visa programs, a big plus

 

Compensation: Commensurate with experience
