Job Description:

Perkins Coie is looking for a talented and dynamic individual to join our team as an eFiling Specialist.  The eFiling Specialist will provide centralized e-filing support to attorneys across the firm and provide timely and accurate submission of digital documents in various jurisdictions in both state and federal courts.  This role requires a strong understanding of electronic filing processes.  Contact with and research of courts is required to gain knowledge about local rules and procedures.  The eFiling Specialist will also work to ensure compliance with deadline-driven filings.

This role is 100% remote and 2nd shift (2:30 – 10:00 PM PT). 

ESSENTIAL FUNCTIONS

These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation.

  • Support firm-wide practice groups in matters relating to eFilings and service of documents in the following states, including but not limited to:  California (Los Angeles, San Diego, San Francisco), Illinois, Oregon, and Washington. 
  • Support firm-wide practice groups in matters relating to eFilings and service of documents in all federal jurisdictions, including Texas, for patent litigation filings.
  • Provide subject matter expertise support to firm’s document processing team with exceptional customer service in a team-based environment.
  • eFile and serve/coordinate service of court-related documents.
  • Respond to inquiries from attorneys regarding court procedures and judges’ local rules for above-mentioned state and federal courts.
  • Act as a liaison between attorneys and courts.
  • Support rush and/or high touch document processing requests connected to e-Filing, including rush and/or high touch Table of Contents and/or Table of Authorities requests. 
  • Serve as the dedicated point of contact for duration of e-Filing requests, which may require delegating work seamlessly with other Business Service Center resources.
  • Coordinate with in-office mail team to ensure tracking and delivery of filing via overnight mail or courier. 
  • Adhere to deadlines for filing documents to meet legal, regulatory or organizational requirements.
  • Address and resolve technical issues related to eFiling systems promptly. 
  • Maintain database of attorney login credentials.
  • Develop best practices for filing in most common jurisdictions.
  • Maintain detailed records of all electronic filings, including confirmation receipts and rejections.
  • Maintain confidentiality of client matters.
  • Manage requests via ServiceNow workflow tool, following workflow best practices in order to seamlessly partner and move work between teams.
  • Ability to manage work using a workflow tool, including utilization of timers and communicate with customers through the workflow tool email mechanism.

SPECIFIC SKILLS REQUIRED

  • Knowledge of electronic filing procedures, federal, state and local judges’ procedural rules for various jurisdictions. 
  • Strong ability to delegate work and provide peer-level oversight in a team environment.
  • Thorough knowledge of all phases of litigation, discovery, and trial procedures. 
  • Demonstrated skills in document/information management.
  • Communicate effectively, both orally and in writing.
  • Advanced document processing skills.
  • Advanced knowledge of Word, BigHand, DocXTools, Best Authority, Sharepoint, ServiceNow and other software that can assist in timely eFiling support. 
  • Familiarity with Excel, Outlook, and Adobe Suite. 
  • Understanding of the firm’s docketing software.
  • Excellent organizational skills.
  • Ability to prioritize and manage multiple assignments from different attorneys.
  • Ability to work remotely.
  • Ability to work 2nd shift (2:30 – 10:00 PM PT). 

SPECIFIC SKILLS PREFERRED

  • Establish effective working relationships throughout operational groups inside and outside the firm.
  • Ability to use various communication tools such as WebEx.
  • Strong command of the English language including excellent spelling, grammar, punctuation, form, and style.
  • Keen knowledge of personal computer and system utilities or other comparable document production software.
  • Thorough understanding of legal terminology and procedures pertinent to the area of assignment.

EDUCATION AND EXPERIENCE

  • Requires 4-5 years of significant law firm experience specifically in the understanding of litigation and e-Filing.

This position may be filled in the following location(s).  The compensation depends on qualifications and experience. 

Colorado compensation range: $67,490 to $100,280 annually 

Washington state compensation range: $71,190 to $105,780 annually
