The Executive Business Partner position is responsible for delivering administrative and operational support to the Vice President Global Total Rewards & People Operations, Associate Vice President People & Culture, N.A., and other executives to be assigned. Serving as a liaison to internal and external stakeholders, ensuring effective communication and collaboration. This position is tasked with overseeing, coordinating and supporting various projects and initiatives related to People & Culture programs, project management, and administration. Collaborates and engages with global counterparts for alignment, consistency, and efficiency.
Key Accountabilities & Essential Functions
- Create, enhance, and maintain efficient and effective administrative systems, identifying opportunities to implement continuous improvement initiatives and automate processes or reporting where possible. Track and report on outstanding tasks, monitoring progress, and seeing assigned activities and projects through to completion. Collaborate and engage for opportunities to align on processes to gain efficiencies.
- Undertake daily management activities arranging internal and external meetings, expenses, events, and lunches. Preparation and distribution of agendas, read ahead documents, minutes, and actions.
- Manage schedules, draft communications, prioritize deliverables, coordinate travel, oversee expense and invoice processing, maintain records and confidential documents.
- Support the executives with administration and liaise where appropriate to handle and process sensitive personal, personnel, and contractual material with strict adherence to confidentiality.
- Provide general administrative support as assigned including supporting pre-hire, induction, and onboarding for new starters.
- With focus on global delivery with a regional touch, assist in driving the strategic change agenda by supporting projects that forward business priorities. Proactively ensure actions are taken and help in timely delivery of tasks.
- Build successful working relationships with different areas of the business and people from all levels in the organization.
- Any other duties as reasonably required.
Skills, Qualifications & Experience
- Proven experience of executive assistant or support reporting to executives, preferably within human resources/people & culture.
- Experience of effectively managing multiple projects and events.
- Experience of administrator with demonstrable organizational and prioritization skills and excellent attention to detail.
- Strong experience with Microsoft Office 365 applications including Outlook, Word, Excel, SharePoint, and PowerPoint. Enterprise database experience is a plus.
- Comfortable with exposure to sensitive and highly confidential information and a mature and pragmatic outlook to handle it appropriately.
- Proactive and highly organized with the ability to set own priorities and deliver on competing projects and tasks well within deadlines.
- Effective communication, relationship management and interpersonal skills.
- Good understand of technology and willingness to resolve issues.
- Strong influencing skills: including ability to influence up.
- Commercially focused drive to help achieve company objectives.
