Executive Admin Role Description:

  • Partner and support 1-2 SVP executives and provide support to cross-functional, division-wide initiatives and events.  The EA plays a critical role in helping the team and organization run, and serves as a trusted partner to our leaders and employees.
  • May also support 2-3 additional senior leaders, ideally in the same organization and / or who work closely with the SVP executive(s).

Minimum requirements:

  • Typically requires 6+ years of related experience.

Responsibilities:

  • Calendar management –understand prioritization and sensitive matters, proactively look ahead several weeks to avoid/resolve overlap, ask about potential overlap and/or new meeting requests (when necessary), provide meal breaks and transition or travel time between meetings (when possible).  Prioritize demands (e.g., ELT needs) on SVP calendar and schedule meetings accordingly for rest of team. Proactively identify issues and fix and/or escalate.
  • Travel arrangements – understand hotel, airport and airline preferences, company requirements / caps to keep bookings within, keep travel rewards numbers on file, ensure there is scheduled time for travel to/from locations.
  • Expenses and expense reports – Order equipment and accessories as needed, submit expenses regularly.
  • Meeting, team and event planning – plan and manage needs for all team meetings, including leadership and all hands meetings (both in person and virtual).  When requested, manages meeting notes and follow-up items.  Provide additional support required for meetings and on-site need when traveling.

Skills & Competencies:

  • Discretion and confidentiality – You will have access to and handle confidential and critical information so discretion and judgment are key requirements.
  • Efficiency – Action requests in an efficient manner or provide ETA / regular updates if not able to action due to bandwidth or other reasons. 
  • Problem solving and decision making – understand executive preferences and move forward by making decisions based on preferences when possible; provide options to review when escalating.
  • Adaptability – Will need to adapt style and support model to suit each leader, with more bandwidth allocated to the most senior leader(s) with largest teams / greatest needs.
  • Communication – Serve as a representative and ambassador to your executive(s) with other leaders and employees across the organization as well as external partners.  Ask questions where clarification needed, maintain regular touch-bases to discuss important topics real-time.  Close all communication loops, anticipate upcoming needs/be proactive, be responsive via Teams / email / text.  Coordinate with other admins and EAs, as needed, on travel, leadership meetings, etc.
  • Own development – Identify challenges as they arise and communicate to leader(s) and / or HR partner.  Work with identified EA colleagues for mentorship and support.

$29.93 - $49.88
