Job Description for Virtual Assistant

Responsibilities:



Communication:

  • Welcome clients registered for employee training.

  • Communicate with attendees and manage attendee information.

  • Share promotional offers, including 50% OFF and additional discounts.

  • Answer inquiries from clients and attendees promptly and accurately.


Client Intake:

  • Connect each client to their appropriate internal Inclusion Maine contact.

  • Ensure a smooth transition and onboarding process for new clients.


Employer Training:

  • Partner with the sales team to ensure training sessions are scheduled and fully booked.

  • Coordinate with the training team to complete training schedules and manage trainer rotations.

  • Check in with clients and trainers to ensure understanding of training scope and preparation.

  • Assist in onboarding new trainers.


Sponsorship and Exhibitor Management:

  • Welcome new sponsors and exhibitors and share benefits information as needed.

  • Answer questions from sponsors and exhibitors.

  • Delegate tasks to team members to provide benefits to sponsors.

  • Check in with team members and steering committee volunteers.


Customer Satisfaction:

  • Conduct customer satisfaction surveys.

  • Gather and use feedback to improve services and client experience.


Financial Management:

  • Follow up on invoices as needed.

  • Conduct monthly financial reviews and updates.


Event Management:

  • Ensure all necessary items are available for attendees.

  • Prepare and distribute speaker packets.

  • Oversee event signage with the Signage Coordinator.

  • Answer volunteer-related questions.

  • Print and prepare badges, event agendas, and additional materials for attendees, speakers, and volunteers.


Membership:


  • Manage the attendee app, online community, and connections.

  • Drive membership sales and achieve targets.

  • Provide support and assistance to members.

  • Post updates and engaging information on the Membership Center (ECC).

  • Promote offers and discounts to members, including special promotions like 50% off.


Recruiting:

  • Coordinate hiring requests with the Talent team or Recruiting Partners.

  • Identify candidates for the Inclusion Maine Conference - Talent Reception.

  • Partner with marketing to promote the Talent Reception. (No sales calls)

  • Identify candidates through various channels.

  • Coordinate with recruiting partners and conduct outreach to professionals.

  • Meet bi-weekly to review candidates and progress with the Talent Reception Committee.

  • Oversee the Talent Team and assist in identifying candidates based on hiring requests.

  • Develop workforce development classes for talent development and business hiring.

  • Refer candidates and businesses to recruiting partners if needed.


Social Media Management:

  • Manage social media accounts, including LinkedIn, to increase visibility and engagement. (contents provided)

  • Post regular updates, interact with followers, and develop social media strategies.


E-Newsletters

  • Newsletter and Event Confirmations: Prepare and send out newsletters to subscribers, ensuring content is engaging and informative. Send event confirmations and other relevant communications to attendees. (contents are provided)


Event Signage

  • Assist Inclusion Maine staff in creating event physical and digital signage for the Inclusion Maine Conference. 

  • Ensure that all event signage aligns with the organization's branding and messaging guidelines.


Website Management: Basic copy paste - no coding

  • Update and maintain the organization’s website with the latest information, events, and resources.

  • Update the website with new sponsors and exhibitors, create social media posts for sponsors, and add company information as needed.
