About the role:

The Executive Assistant (EA) to the CEO will provide high-level administrative and operational support to the CEO of a leading impact investing firm based in Singapore. The EA will work remotely and fully online. The EA will play a critical role in enabling the CEO to focus on strategic initiatives by managing daily tasks, coordinating key projects, and maintaining relationships with investors, clients, and partners. The ideal candidate will be proactive, highly organized, and passionate about the impact investing space, with strong communication skills and an ability to thrive in a fast-paced environment.

Primary responsibilities:


• Executive Support:

o Manage the CEO’s complex calendar, including scheduling meetings, travel arrangements, and appointments with internal and external stakeholders.
o Act as a gatekeeper, ensuring the CEO’s time is well-prioritized for high-impact activities.
o Prepare meeting agendas, presentations, reports, and briefing materials for the CEO, particularly related to strategic partnerships, investor relations, and industry events.
o Assist in preparing documents for board meetings, executive team meetings, and client presentations.

• Travel Coordination & Event Planning:

o Handle all aspects of the CEO’s travel, including international and domestic bookings, itineraries, visas, and accommodations.
o Organize and manage events, conferences, and investor meetings, ensuring seamless coordination between teams and external partners.

• Project Management:

o Assist the CEO in overseeing and tracking progress on key strategic initiatives and projects, coordinating with internal teams to ensure timely delivery.
o Manage cross-departmental projects related to impact assessments, business development, and stakeholder engagement.
o Ensure alignment of timelines, deliverables, and resources for all ongoing projects.

• Communication & Correspondence:

o Serve as the primary point of contact for communications with the CEO’s office, both internally and externally.
o Draft, edit, and manage emails and other correspondence on behalf of the CEO with a focus on professionalism and accuracy.
o Maintain strong relationships with key stakeholders, including investors, board members, government bodies, and philanthropic partners.

• Stakeholder and Investor Relations:

o Support the CEO in maintaining and strengthening relationships with investors and partners by coordinating communications, providing relevant updates, and tracking investor preferences.
o Assist in organizing investor meetings and drafting materials for fundraising or partnership discussions.
o Manage follow-ups and action points from high-level meetings, ensuring timely communication with stakeholders.

• Administrative Support:

o Manage daily administrative functions including expense reports, document management, office organization, and filing of sensitive materials.
o Ensure all legal and compliance documentation related to the CEO’s work is up-to-date and properly filed.
o Liaise with external service providers, such as legal teams, consultants, and auditors, to ensure seamless collaboration with the CEO’s office.

• Confidentiality & Discretion:

o Handle sensitive information with the highest level of confidentiality and professionalism, including financial documents, investment details, and HR-related matters.
o Ensure all communications and documentation reflect the company’s commitment to transparency and ethical standards.

The successful candidate will report directly to the Founder and CEO of IIX.

To be a successful EA with IIX, you should have:


• Bachelor’s degree in business administration, finance, or a related field.
• Atleast 5+ years of experience as an Executive Assistant to a C-suite executive, preferably in finance, banking, impact investing, or a high-growth sector.
• Knowledge of the finance, banking, impact investing ecosystem, social finance, or sustainability is a plus.
• Excellent organizational and time-management skills with the ability to multitask and prioritize.
• Exceptional communication skills, both written and verbal, with the ability to interface effectively with high-profile stakeholders.
• Proficient in Microsoft Office (Excel, Word, PowerPoint), Google Suite, and project management tools like Asana, Monday.com, or Trello, Chat GPT.
• Flexibility to work extended hours as needed, including occasional evenings or weekends.
• Ability to travel as required.

Preferred Qualifications:


• Prior experience supporting executives in the finance, investment, or sustainable development sectors.
• Understanding of Singapore’s regulatory landscape, compliance requirements, and investment environment.
• Ability to handle international scheduling and travel coordination across multiple time zones.
