Job Description

We now have an amazing opportunity for a COO Business Support Assistant to join us in our Institutional Retirement business based in our Hove office. Your role will be to provide planning and professional administrative support, event planning and office services to the highest standard to the COO Senior Leadership Team, enabling them to operate with maximum effectiveness and contribute to the effective day-to-day running of the whole department.

    What you'll be doing:

    • Providing a full range of administrative support to COO Heads of Department (hereafter referred to as SLT). Assisting with extensive and comprehensive diary management, providing prompt support to any enquiry to SLT from internal or external customers, demonstrating as an ambassador our L&G behaviours. Assess the nature, confidentiality and urgency of the enquiry and take the appropriate action where necessary.
    • Co-ordinating, administering and maintaining a variety of governance documents for COO SLT.
    • Facilitating agendas, writing minutes, documenting decisions, and executing action logs for meetings as appropriate. Maintain distribution lists for COO SLT teams.  
    • Managing travel, accommodation, and visitor access across multiple sites for COO SLT. Liaising with Travel and Events provider for offsite meeting venues for conferences and events. Logging any G&H requests via STAR on their behalf.
    • Supporting EAs and SLT with additional tasks such as booking meeting rooms, event spaces, specifying room layout, technical set up, chasing attendees and event inputs, organising hospitality. Additional tasks might be (but are not limited to) liaising with Group Real Estate and facilities, organising team social events.
    • Administering and maintaining user access to desk / meeting room booking system and stationery for COO locations. Monitor First Aider, Mental Health First Aider, Fire Marshall numbers, and carry out audits to ensure desks and workspaces meet Health and Safety and Clear Desk policies.
    • Managing the onboarding of new starters/movers to the business unit and process the smooth exit of any leavers.

    • Demonstrated level of confidence to deal with any issues that arise and resolve or escalate as appropriate.
    • Strong written and verbal communication with the ability to produce reports and presentations in a well-structured way.
    • Able to accept and give clear instructions.
    • Able to apply discretion and maintain confidentiality.
    • Numerate and ability to handle data analysis activity
