Antal International, Iasi Office (www.antal.com ), on behalf of our CLIENT, is seeking an:



Administrative Assistant in the Property Management department – fully remote, based in Romania.



Our Client has a legal entity in Iasi, Romania, and you will be employed full-time with a standard employment contract (CIM). The role includes a 6-month probationary period, during which training will be provided to ensure you achieve independence in your role. This will be offered as a 6-month fixed-term contract, which will be extended to a permanent/indefinite contract upon successful completion of the probation period.



This is a fully remote position with a work schedule of 11:00 AM – 7:00 PM RO time.



Our Client is an independent utility consultancy based in the UK, managing the energy, water, waste, and telecom needs of major UK brands. In addition to energy procurement, they provide renewables and carbon consultancy services, helping customers achieve their ‘Future Net Zero’ goals.



The Role:



You will provide administrative support within the Property Management department, primarily focusing on pricing energy contracts (Electricity & Gas). This includes gathering data from customers and energy suppliers, entering the data into the company’s online portal, and producing quotations for customers.



The role involves significant interaction with both customers and suppliers.



Given that energy is priced at the meter level, the role requires handling large datasets, especially for customers with multiple meters and pricing options from various suppliers.

Responsibilities:



- Provide administrative support to the Property Management department, ensuring accurate and efficient data collection for all clients.
- Communicate daily with external suppliers to gather data and meter information, while managing expectations of the Sales team.
- Assist the Property Manager with various requests, including billing queries, contract procurement, and report generation.
- Compile contract and deal information for the data checklist folder.
- Manage and process the data checklist folder to ensure deals are correctly logged in the system.
- Accurately input and manage contract details in the database.
- Perform data checks to ensure the accuracy of internal and supplier data, ensuring the correct recording of client positions and trades.
- Collaborate with our third-party portal provider to ensure data for new customers is onboarded quickly and accurately.



Essential Skills:



- Strong work ethic with the ability to learn quickly in a fast-paced environment.
- Proficiency in Excel (to at least VLOOKUP level, no VBA or Macros required).
- Intermediate knowledge of Word and Outlook.
- Excellent English verbal and written communication skills.
- High attention to detail and strong organizational skills.
