Job Purpose

The Marketing Meeting & Events Planner will work to coordinate and support Great Minds’ presence at more than 200 education tradeshow events and meetings a year. Some travel for on-site support will be required. This highly visible role demands extensive customer service skills, a high level of professionalism and willingness to handle all planning and administrative details of meetings and events. The ideal candidate enjoys thriving in a team-based, challenging, and fast-paced atmosphere where prioritizing and multi-tasking are the norm. Exceptional organizational skills and attention to detail are a must to succeed in this role.


Responsibilities

  • Oversee and facilitate various aspects of meeting planning from site selection, event registration, and post-event reporting.
  • Work on multiple national meetings, large-scale conferences and events.
  • Partner with Sales, Success and Product teams to create a strategy for every national event to maximize event attendance and ROI.
  • Nurture and build relationships with vendors and venues while crafting and implementing the creative and logistical aspects of all events
  • Remain current with trends in event planning, design, and production, and proactively identify and solve operational challenges with internal teams and vendors
  • Prepare BEO information with event venues.
  • Coordinate travel, lodging and expenses for participants traveling to meetings.
  • Develop and maintain relationships with exhibitors/sponsors.
  • Perform administrative tasks covering meeting preparation, supply ordering, packing/shipping of event materials, and data entry.
  • Create invoices and receipts as requested.
  • Track and code expenses for event budget reconciliation.
  • Create and analyze online evaluations and prepare post-event reports.
  • Other duties as assigned by the Enterprise Events Manager.
  • Evaluate event success and provide evidence-based recommendations to leadership for improvement for future events
