Job Title: Construction Office Assistant (Level Sheets & Vendor Onboarding)
Location: Fully-Remote
Employment Type: Full-Time

Job Overview:
We are seeking an experienced Construction Office Assistant to support our client's project teams in preparing and managing level sheets, as well as onboarding new vendors. The ideal candidate will have strong administrative skills, familiarity with construction processes, and excellent communication skills for coordinating with vendors and team members.

Key Responsibilities:

  1. Level Sheets Preparation:

    • Accurately record and manage data related to elevation levels for construction sites.
    • Collaborate with site supervisors and surveyors to ensure accurate level data is collected and recorded.
    • Maintain and update level sheets, ensuring consistency and adherence to project plans and specifications.
    • Use software like Excel and other project management tools to compile and present level data.
  2. Vendor Onboarding:

    • Manage the onboarding process for new vendors, including collecting required documents and ensuring compliance with company policies.
    • Coordinate with vendors to complete contracts, certifications, and insurance paperwork.
    • Maintain vendor records in the company’s database and ensure all documentation is up-to-date.
    • Build and maintain strong relationships with new and existing vendors to streamline collaboration.
  3. Administrative Support:

    • Provide general administrative support to the construction team, including managing documentation, scheduling meetings, and handling communication between the office and job sites.
    • Assist with procurement, including communicating with vendors about pricing, availability, and delivery schedules.
    • Support project management tasks as needed.

Requirements:

  • Experience in construction administration or a similar role.
  • Work experience with Level Sheets before is A MUST.
  • Strong proficiency in Microsoft Office, especially Excel.
  • Ability to understand and interpret construction plans and site drawings.
  • Excellent communication and organizational skills.
  • Knowledge of construction processes and terminology.
  • Familiarity with vendor management processes and requirements.

Preferred Qualifications:

  • Experience working with level sheets or surveying processes.
  • Knowledge of construction software tools like Procore or Buildertrend.
