Description

We are looking for a dedicated and organized Meeting Coordinator with experience in Cvent meetings management software to join our team. This role involves supporting a multinational pharmaceutical client and offers a unique opportunity for growth within the industry.

Responsibilities

  • Event Management: Create and manage web-based registrations for meetings and events using Cvent.
  • Communication: Collaborate with Business Owners and Meeting Planners to determine and coordinate event-related e-communications (invitations, reminders, confirmations, etc.).
  • Attendee Management: Assist in completing and formatting Attendee Lists, and generate standard/custom registration reports for stakeholders.
  • Administration: Coordinate meeting registration and housing administration, and create print or electronic sign-in sheets for healthcare professional (HCP) attended sessions.
  • Material Preparation: Design and print onsite materials (name badges, table tents, etc.) with specified due dates, ensuring availability before meetings. Manage print and delivery.
  • Stakeholder Communication: Liaise effectively with various cross-functional stakeholders, including business owners, field personnel, and supporting departments.

Qualifications

  • Education: Bachelor’s degree (BA/BS) preferred, or equivalent work experience.
  • Experience: Minimum of 2 years in a related role, ideally within the hospitality industry or meeting/convention coordination.
  • Skills:
    • Proficiency in Cvent meetings management software.
    • Excellent organizational skills and ability to manage multiple project deadlines.
    • Strong written and verbal communication skills.
    • Demonstrated initiative and ability to work independently in a fast-paced environment.
    • Proven problem-solving skills for routine issues of moderate complexity.
    • Consistent customer focus and understanding of key customer needs.
    • Familiarity with TypeCoach methodologies when interacting with customers is a plus.
