The Loan Processing Coordinator will organize files, assist clients, track deadlines, and ensure a smooth loan process. Join our team now!

Key Responsibilities

  • Track Lead Notes received from the Loan Officer (LO) and align Encompass files accordingly.
  • Monitor incoming "App Submitted" emails and initiate Encompass file setup to match LO Lead Notes.
  • Complete "File Set-up" review upon receiving client applications and documents, including ordering credit, organizing documents in Encompass, and rectifying obvious errors on client applications.
  • Send files to the Pre-Approval team upon gathering sufficient documentation for their review.
  • Run DU/LP and order appraisals when necessary, if no PIW/ACE is available.
  • Issue client needs lists after initial file review and post-pre-approval team's assessment.
  • Obtain accurate EOI, VOE's, and HOA documents upon request from Loan Officer Assistants (LOA)/Processors.
  • Ensure the correctness of EOI and other documents at the funding stage to prevent funding delays.
  • Maintain a comprehensive tracker of all files on the desk, outlining outstanding items for each file to prevent oversight.
  • Open new title orders, acquire wire instructions, assist with phone inquiries, order payoffs, conduct lien searches, and obtain HOA estoppels.
  • Keep track of and update pipeline dates.
  • Serve as a central point for team communication with clients, third parties, and internal stakeholders.
  • Schedule appointments and maintain calendars.
  • Prepare reports and assist with loan closing activities.
  • Coordinate with title underwriters, attorneys, and other involved parties in the loan process.
  • Cultivate positive relationships with customers and ensure excellent customer service throughout the loan process.
  • Stay abreast of industry trends and underwriting guidelines.

Skills, Knowledge, And Expertise

  • Strong command in English
  • Required to work US weekends
  • Willing to be on the phone to communicate with stakeholders
  • Minimum of 1 year of experience in a title or related role
  • Demonstrate excellent customer service skills, along with strong communication and interpersonal abilities.
  • Work independently and collaboratively within a team setting, exhibiting a detail-oriented and organized approach.
  • Ability to multi-task.
  • Stay updated on industry trends and underwriting guidelines.
  • Track Lead Notes received from the Loan Officer (LO) and synchronize Encompass files accordingly.
  • Monitor incoming "App Submitted" emails, aligning Encompass files with LO Lead Notes.
  • Conduct thorough "File Set-up" reviews upon receiving client applications and documents, including credit ordering, Encompass document organization, and rectification of client application errors.
  • Forward files to the Pre-Approval team upon gathering adequate documentation for their review.
  • Execute DU/LP runs and order appraisals as required, in the absence of PIW/ACE.
  • Issue client needs lists post initial file review and after Pre-Approval team evaluation.
  • Acquire accurate EOI, VOE's, and HOA documents upon request from Loan Officer Assistants (LOA)/Processors.
  • Ensure document correctness at the funding stage to prevent funding delays.
