Role Summary

Our client (a facility and equipment services company) is looking for an Administrative Accounting Assistant, who will be responsible for working as a part of the team and communicating frequently with the Accounting Executives. This role will perform bookkeeping, accounting tasks, and administrative functions. He/she will be responsible for delivering error-proof work with a positive and professional attitude. This role requires strong attention to detail, excellent communication skills, and the ability to work collaboratively with cross-functional teams.

He/she will also be responsible for managing accounts receivable and payable, daily bank transactions, and monthly reconciliations. This role will play a crucial role in ensuring accurate financial records and assisting with month-end close processes. Also, ensure that all financial activities comply with regulations and internal policies, provide timely and accurate financial information to support decision-making, and maintain organized records.

The ideal candidate thrives in an intense and fast-paced environment while maintaining focus and attention to detail. They must be able to work quickly and efficiently while providing excellent service. Strong follow-through with high standards of quality and accuracy are mission-critical for success in the role. SCHEDULE: 8:00 AM – 5:00 PM Eastern Daylight Time (8:00 PM – 5:00 AM Philippine Standard Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

Essential Functions

  • Prepare and book journal entries, adjustments, and reconciliations
  • Perform data entry to record and categorize financial transactions
  • Enter and reconcile daily and monthly transactions
  • Perform monthly revenue/refund audits
  • Assist with sales tax tracking
  • Handle accounts receivable tasks
  • Create and send invoices
  • Collect credit card info, process payments, capture transactions, and receive payments in ERP System (NetSuite)
  • Enter invoice information into the NetSuite system and reconcile payments received
  • Follow up with customers on past-due payments
  • Handle accounts payable tasks
  • Enter bills and match them with purchase orders
  • Assist in the preparation of month-end reports and with month-end close journal entries
  • Upkeep client-specific financial summaries
  • Address inquiries and help resolve issues related to financial transactions
  • Assist with client and administrative projects
  • Fulfill and update tasks and records in NetSuite System
  • Manage calendar to schedule daily and weekly workload
  • Attend weekly meetings with specific team members and participate in team meetings and 1:1 check-in to discuss goals, concerns, and growth

Qualifications

  • Formal training/education or experience in Accounting, Finance, Business, or a related field
  • Proficient computer skills, working knowledge of MS Word and MS Excel, ability to move between screens and different programs
  • Strong written and verbal communication skills
  • Has attention to detail, ability to multi-tasking and can prioritize duties as needed
  • Must be able to work both individually and as a team member
  • Demonstrated in past work experience strong interpersonal skills with internal and external relationships
  • Experience in a multi-client environment
  • Aptitude in data management, analytics, reporting preparation
