Job description

We are seeking a highly organized and proactive Real Estate Virtual Assistant (VA) to support our real estate team. In this role, you will handle a variety of administrative tasks including managing listings, scheduling appointments, coordinating with clients, and maintaining accurate records.

Key Responsibilities:

  • Provide general administrative support, including managing emails, scheduling appointments, and organizing digital files. Ensure smooth and efficient daily operations for the real estate team.
  • Handle client inquiries and communications via phone, email, and chat. Schedule and coordinate meetings, property showings, and follow-up appointments with clients.
  • Assist in managing and nurturing leads by updating CRM systems with lead information, tracking lead status, and following up with potential clients as directed by the team.
  • Prepare and manage property listings on various real estate platforms. Ensure that all listings are accurate, complete, and up-to-date with high-quality photos and descriptions.
  • Draft, review, and manage real estate documents, including contracts, agreements, and disclosure forms. Ensure that all documents are completed accurately and comply with industry standards.
  • Assist with the creation and distribution of marketing materials, including brochures, newsletters, and social media posts. Help manage online marketing campaigns and track their performance.
  • Support the transaction process by coordinating with buyers, sellers, and other parties involved. Track important deadlines and ensure all necessary documents are submitted on time.
  • Perform data entry tasks and generate reports on sales, listings, and client interactions. Maintain accurate records and assist in analyzing data to support business decisions.
  • Schedule and confirm appointments for property viewings, inspections, and meetings. Coordinate with all parties involved to ensure availability and minimize scheduling conflicts.
  • Provide exceptional customer service by addressing client needs and concerns professionally and promptly. Resolve any issues that arise during the real estate process with a focus on client satisfaction.
Qualifications:
  • Certification in real estate or administrative support is a plus.
  • Previous experience as a virtual assistant, administrative assistant, or in a real estate support role preferred.
  • Strong knowledge of real estate processes, terminology, and documentation.
  • Proficiency in using real estate CRM systems, virtual office tools, and office software (e.g., Microsoft Office, Google Workspace).
  • Excellent communication skills, both written and verbal, with a professional and friendly demeanor.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • High attention to detail and accuracy in handling documents and data.
  • Ability to work independently and efficiently in a remote work environment.
  • Reliable internet connection and a suitable home office setup.
