Administrative Assistant with IT Knowledge

Job Summary: We are seeking a detail-oriented and organized Administrative Assistant with basic IT knowledge to join our team. The ideal candidate will be responsible for reviewing and processing timesheets, ensuring accuracy and compliance with company policies. Additionally, the role includes overseeing quality assurance for ticket reviews, ensuring that all tasks are completed efficiently and to a high standard.

Key Responsibilities:

  • Timesheet Review:

  • Collect and review employee timesheets for accuracy and completeness.

  • Verify work hours, overtime, and time-off requests in accordance with company policies.

  • Identify and report discrepancies in timesheet entries and liaise with supervisors as necessary.

  • Prepare and submit timesheet data for payroll processing.


  • Quality Assurance for Ticket Review:

    • Monitor and review IT support tickets to ensure they meet quality standards.

    • Verify that tickets are resolved within the appropriate timeframes and that solutions are documented properly.

    • Provide feedback to the supervisor on ticket handling and resolution processes.

    • Assist in maintaining a high level of customer service by ensuring that all tickets are handled efficiently and effectively.

  • Administrative Support:

    • Assist with general administrative tasks, including filing, data entry, and document management.

    • Manage correspondence, schedule meetings, and coordinate calendars as needed.

    • Maintain and update records, databases, and documentation related to timesheets and ticket reviews.


  • Compliance and Reporting:

  • Ensure compliance with company policies, procedures, and regulations related to timesheets and ticket management.

  • Generate reports on timesheet data and ticket quality metrics for management review.

 

JOB REQUIREMENTS/QUALIFICATIONS:

  •  High school diploma or equivalent; Associate’s degree or higher preferred.

  • Minimum of 2 years of experience in an administrative role, preferably with some IT exposure.

  • Basic knowledge of IT systems, including ticketing systems and office software (e.g., Microsoft Office Suite, Google Workspace).

  • Strong attention to detail and accuracy in data handling.

  • Excellent organizational and time-management skills.

  • Ability to handle confidential information with discretion.

  • Strong communication skills, both written and verbal.

  • Problem-solving skills and the ability to work independently.


  • Preferred Qualifications:

    • Experience with payroll processing or timesheet management systems.

    • Familiarity with IT service management (ITSM) tools.

    • Previous experience in quality assurance or customer service roles.
