Job description

Working Conditions:

  • PH graveyard shift (CST)
  • Fully remote
  • Independent contractor

Responsibilities:

  1. Event Planning:
    • Collaborate with the executive team to plan, organize, and execute various events, both virtual and in-person.
    • Coordinate event logistics including venue selection, catering, audiovisual requirements, and attendee management.
    • Manage event budgets effectively and ensure all expenditures are within allocated limits.
    • Utilize creative tools such as Canva to design promotional materials, music, slideshows, and other multimedia content as needed.
  2. Travel, Calendar, and Email Management:
    • Arrange and coordinate travel itineraries, accommodations, and transportation for the executive team.
    • Maintain and manage complex calendars, scheduling appointments, meetings, and events efficiently.
    • Handle email correspondence, prioritize messages, and draft responses on behalf of executives as required.
  3. Information Processing and Critical Thinking:
    • Process and synthesize information accurately and efficiently, ensuring that pertinent details are conveyed to the executive team in a timely manner.
    • Demonstrate strong critical thinking skills to assess situations and proactively identify solutions or improvements.
    • Take tasks one step further by anticipating needs, streamlining processes, and proposing innovative solutions.
  4. Assessments and Simulator Questions:
    • Participate in situational assessments and simulator questions to demonstrate problem-solving abilities and critical thinking skills.
    • Provide insights on how tasks can be enhanced or optimized to improve efficiency and effectiveness.
  5. Technology Proficiency:
    • Proficient in using Google Workspace for document creation, collaboration, and communication purposes.
  6. Time Management and Multitasking:
    • Exhibit excellent time management skills, prioritizing tasks effectively to meet deadlines and manage competing priorities.
    • Schedule meetings across different time zones and create travel itineraries with attention to detail.
  7. Language Proficiency:
    • Strong proficiency in the English language, both written and verbal, to communicate effectively with internal and external stakeholders.
Must have:
  • Previous experience supporting a C-level executive in a fast-paced environment
  • Previous experience in executive support or administrative roles, with a focus on event planning and travel management.
  • Demonstrated proficiency in event coordination, including budget management and multimedia content creation.
  • Strong critical thinking skills and the ability to thrive in a fast-paced, dynamic environment.
  • Excellent communication and interpersonal skills, with a keen attention to detail.
  • Tech-savvy with proficiency in MS Office Suite and Google Workspace.
  • Ability to work independently, prioritize tasks, and handle confidential information with discretion.

Nice to Have:

  • Experience with Canva or similar design tools for creating promotional materials and multimedia content.
  • Familiarity with assessments and simulator questions to assess problem-solving abilities.
  • Previous exposure to customer service-related tasks relevant to executive assistant responsibilities.
