We are seeking a highly adaptable, proactive, and detail-oriented Virtual Executive Assistant who embodies our core values: Lead with Integrity, Take Ownership, Make Mom Proud, and Solution Focused. The ideal candidate will be a quick learner and play a crucial role in enhancing efficiency and optimizing productivity by managing daily operations, facilitating team and client communication, and supporting our CEO and President with schedule management, protecting their time, and handling client interactions. As our Virtual Assistant, some of your responsibilities will include:

  • Manage emails and schedules for the CEO and President
  • Schedule and coordinate client meetings and appointments, and prep sales calls
  • Oversee onboarding for new clients and manage documentation
  • Follow up on Engagement Letters and ACH sign-ups
  • Track team time and ensure accuracy
  • Foster team unity, coordinate activities, and celebrate milestones
  • Send gifts and care packages to clients and employees
  • Gather data, monitor, and report on KPIs
  • Send out handwritten notes
  • Maintain client database, workflows, and engagement processes
  • Plan and coordinate events for team retreats and webinars
  • Implement and update automation funnels
  • Assist with personal tasks such as travel arrangements
  • Assist in researching new tools, software, and contractors
  • Create SOPs, clarify processes, and create efficiencies to free up the CEOs time to concentrate on strategic priorities

Position Details:

  • This is a full-time remote W2 position
  • Benefits include Medical, Dental/Vision, PTO/Vacation, Sick Time, Paid Holidays, 401K (match), Monthly Stipend (Internet & Phone), Quarterly Bonus, Pet Bereavement Leave, and Maternity Leave
  • Hours are Monday - Friday from 9:00 AM - 6:00 PM EST with some flexibility
  • You must be able to work Eastern Time hours
  • Pay rate: $24/hr. USD
  • Potential for travel 2-3 times per year for team retreats or professional development opportunities
  • You must be able to pass a background check
