Job description

We are an investment firm based in Washington, DC, acquiring profitable small businesses in the United States.

We are looking for a full-time Project & Special Operations Manager to be the right-hand person for the firm’s CEO. Think of it as part Chief-of-Staff and part executive assistant. We need someone with an A++ level of English communication skills with high initiative. Please do not apply if you think you’re not a good fit for the role.

About You

You are a proactive, resourceful, and detail-oriented individual that is ok with heavy project management execution. You have deep experience as a project manager or executive assistant for American companies. You are excited by gathering requirements and managing projects from concept to completion. You enjoy supporting executives by anticipating their needs to make their lives easier. You pride yourself on your quick communication via text, email, and calls to keep the trains running on time.

  • Works fast! You pride yourself in taking action and researching your questions to get work done quickly without needing to be managed.
Example Tasks:
  • Complete varied special projects, including business development automation, creating presentations, financial spreadsheets, travel planning, and agenda material.
  • Email Management - You’ll manage the email inboxes, triaging email based on how important it is, presenting a daily brief for our attention, and drafting responses. You’ll also draft emails based on our input and the templates that we’ll provide. We want your English to be so good that you can email us without people noticing a difference.
  • Personal Research Tasks - You’ll research and provide shortlists of options for anything from a new tennis coach to where to have a skiing holiday and where to host a party in an accessible central Washington DC location.
  • Calendar Management - You’ll manage our calendars, setup meetings, and prepare materials for upcoming meetings.
  • Prepare analyses and materials on potential business acquisition targets - don’t worry we’ll train you on what to look for.
  • Managing 3rd Party contractors - identify, recruit, and interview independent contractors to complete special projects.
  • Manage administrative tasks such as reporting, file organization, website management, and expense tracking.
  • Create, document, implement, and continuously improve standard operating procedures and workflows for the business.

Requirements:
  • At least 3 years of full-time experience working for American companies.
  • Excellent references from your previous employers.
  • Apple Mac and iMessage for communicating by text.
  • Impeccable grammar and an excellent phone manner. Must be comfortable reaching out to associates and external parties on the executive’s behalf.
  • Good internet connection and a quiet place from which you can take video calls. Backup device and Internet in times of power outages.
  • Familiar with the following tools: Outlook Email & Calendar, Gmail & Google Calendar, Notion.so, iMessage, Slack, and Todoist.
