NOTE: APA operates on a 37.5-hour work week with one hour lunch breaks each day. APA sets salaries based on several considerations, including years of relevant experience, level of education, and previous staff and/or governance experience at APA.
The key function is to provide support for the Foundation, especially leadership, in the day-to-day functions of running a busy foundation. Duties include managing schedules, managing and coordinating all administrative procedures across the Foundation and being responsible for the organizational and operational needs of APF leadership. Position requires an organized and proactive individual with good proofreading skills, great people skills, attention to detail and a positive approach to multitasking.
Education and Experience Required:
- A High School diploma with 7-10 years of experience as an Administrative; or
- An undergraduate degree in business administration or related field and 4-5 years of experience as an Administrative Assistant
- Excellent interpersonal skills
- Ability to work well on a team and autonomously

Responsibilities:
- Provides general administrative support to leadership and Foundation, including serving as primary task management administrator.
- Completes a broad variety of administrative tasks for the CEO including but not limited to: managing a calendar of appointments; completing expense reports; arranging travel; managing operational needs; fielding and responding to requests and questions internally and externally, researching and gathering materials for meetings and presentations. Assists other APF leadership with same.
- Supports the Finance department in preparing and monitoring travel expenses, check request expense reports, processing invoices, charitable registration, and audit preparation.
- Maintains the Foundation office policies and procedures and departmental files in conjunction with APF Directors and CEO.
- Serves as the staff liaison and directs logistics for all aspects of board and committee meeting preparation.
- Creates and maintains detailed agendas and minutes for all board and committee related calls and meetings.
- Coordinates drafting and production of agenda and the minutes for the APF trustees’ meetings, as well as other standing board committees in conjunction with APF leadership.
- Ensures the implementation of action items from the board of trustee meeting minutes under the guidance of the CEO.
- Other Duties as Assigned:
- Assists all APF department heads with administrative duties as requested.
